Who it's for
For teams who've tried AI tools but haven't changed how work gets done
Most businesses already have staff using AI chat tools. The harder part is connecting AI to real processes, data and systems in a way that's reliable, affordable and safe.
Signs it's worth a conversation
- You've experimented with AI tools, but nothing has stuck in day-to-day operations.
- Staff use AI informally and you're not sure what business data is going where.
- Enquiries, quotes or paperwork queue up because the same details are typed and checked by hand.
- Leadership wants an AI plan tied to specific processes, running costs and risks.
What an AI engagement can include
We start with a small number of high-value uses — answering and qualifying enquiries, routine customer conversations, document details, report summaries — then build and run them. For each one we agree what AI handles on its own, when it hands over to your team, and which actions need approval first.
- 01
AI opportunity review
Map key processes, estimate effort, cost and risk for each AI use, and agree a short, prioritised list.
- 02
Automated customer conversations
AI agents that answer routine questions, qualify new enquiries and book appointments over web chat, SMS or email — within boundaries you approve, handing over to your team when a conversation needs a person.
- 03
Enquiry triage and replies
Classify new enquiries, route them to the right person and send first responses — automatically for routine cases, or as drafts for approval where you want that check.
- 04
Document and email extraction
Pull the details you need from forms, emails, invoices or job sheets into your systems, with checks for low-confidence results.
- 05
Internal knowledge assistant
Help staff find answers in your own procedures and policies, limited to the documents they're allowed to see.
- 06
Reporting summaries
Plain-English summaries of CRM, pipeline or job data to support weekly management meetings.
- 07
AI usage guidelines and training
Practical guidance for staff on which tools to use, what not to paste into them, and when to check output.
Delivery
How we deliver AI work
- 01
Discovery
Understand the processes, data, systems and risks involved, and who will own the result.
- 02
Shortlist and business case
For each candidate use: expected effort, running costs, how we'll measure it, and what could go wrong.
- 03
Pilot
Build one workflow on real (appropriately handled) data, test accuracy and hand-over paths, then agree what runs automatically and what needs approval.
- 04
Roll out and run
Extend what works, monitor quality over time and adjust as tools and models change.
Client work involving AI-assisted follow-up
Scope of related past work. Each write-up sets out what was built and how its results were measured.
Questions we're often asked
Do we need our data cleaned up before starting?
Not completely. Part of discovery is checking whether the data a use case depends on is good enough. If it isn't, we'll say what needs fixing and whether it's worth doing first.
Which AI tools or models do you use?
We choose per use case — typically business offerings from established AI providers, connected to the CRM, automation and document tools you already use. We'll explain the trade-offs in cost, accuracy and data handling before anything is built.
Will our data be used to train AI models?
That depends on the provider and the plan. We prefer business and API offerings whose terms say customer data isn't used for model training by default, and we'll show you the relevant terms for anything we recommend.
Can AI reply to our customers on its own?
Yes, for suitable tasks — such as answering routine questions, qualifying new enquiries or booking appointments. For each use case we agree what the AI handles automatically, when it hands a conversation to your team, and which actions need someone's approval. Many businesses start with a narrower scope and widen it once results have been checked.
How long does an AI project take?
It depends on the scope and your systems. We prefer a small pilot on one workflow before wider rollout, and the proposal sets out the timeline for each stage.
Do you only work with Perth businesses?
No. We're based in Perth and work with businesses across Australia.
